School Policies

1. Enrollment & Acknowledgment of Policies

By enrolling at Quenedit Ballet School, families acknowledge that they have read, understand, and agree to abide by all school policies and procedures.

Policies may be updated throughout the year. Families are responsible for reviewing all school communications to remain informed.

2. Tuition, Payments & Fees

Tuition is structured in progressive 4-week terms, designed to support consistency and student development.

  • Tuition is non-refundable and non-transferable

  • Missed classes do not generate credits unless canceled by the school

  • Payments are made through the Parent Portal (Jackrabbit)

Payment Methods:

  • Credit Cards accepted online (2.89% processing fee applies)

  • Cash or check accepted at the front desk (no fee)

Registration Fee:

  • $40 annually per student

Late Payment Policy:

  • Tuition is considered late after 6 days past the due date

  • Late fees:

    • Week 2: $20 per child

    • Each additional week: +$10

  • Students may not participate in class after the second week of non-payment

Parents/guardians are responsible for monitoring all tuition due dates as published by the school.

3. Missed Classes & Make-Up Policy

  • Make-up classes must be completed within the same term

  • Students may attend a similar-level class or another style (subject to availability)

  • Make-up classes do not carry over into future terms

  • No refunds or credits are issued for missed classes

4. Withdrawal Policy

At Quenedit Ballet School, we are committed to the holistic development of each dancer through a structured and progressive training program. Consistency and commitment are essential to student growth, class cohesion, and performance preparation. For this reason, enrollment is intended as a commitment to the full school year.

If withdrawal is necessary, the following policy applies:

  • A minimum of thirty (30) days written notice is required

  • Written notice must be submitted via email to the front desk to be considered valid

  • Withdrawals are processed in alignment with our 4-week term structure and are not applied mid-term

Tuition Responsibility:

  • Tuition remains due for:

    • The current term, and

    • Any portion of the 30-day notice period, which may include the following term

If notice is given after a new term has begun, full tuition for that term is required, regardless of attendance.

Accounts must be current, and all outstanding balances must be paid in full before withdrawal is finalized.

All payments are non-refundable and non-transferable

5. Medical Authorization

In the event of illness or injury, Quenedit Ballet School is authorized to obtain emergency medical care if a parent/guardian cannot be reached.

Parents/guardians accept full responsibility for any medical expenses incurred.

6. Photo & Media Release

Unless declined in writing during registration, families grant Quenedit Ballet School permission to use photographs and video recordings of students for:

  • Marketing and promotional materials

  • Social media and website

  • Publications and press

Student names will not be used without additional written consent. No compensation will be provided.

7. Physical Contact in Instruction

Dance training requires physical activity and may include hands-on (tactile) corrections to ensure proper technique, alignment, and safety.

By participating:

  • Families consent to appropriate instructional physical contact

  • Any concerns must be communicated promptly to the instructor or school leadership

8. Assumption of Risk

Participation in dance and physical training involves inherent risks, including but not limited to:

  • Physical injury or strain

  • Falls, collisions, or accidents

  • Illness or fatigue

Families acknowledge and voluntarily accept all risks associated with participation.

9. Release & Waiver of Liability

To the fullest extent permitted by Texas law, families agree to:

  • Waive and release Quenedit Ballet School, its directors, instructors, staff, and affiliates from any and all liability arising from participation

  • Acknowledge that participation is voluntary and undertaken at their own risk

This waiver applies to all activities, including:

  • Classes and rehearsals

  • Performances and events

  • Activities on-site and off-site

This waiver does not apply to gross negligence or willful misconduct, as required by law

10. Indemnification

Families agree to defend, indemnify, and hold harmless Quenedit Ballet School from any claims, damages, liabilities, or legal expenses arising from participation, including third-party claims

12. Governing Law

All policies and agreements are governed by the laws of the State of Texas.

Any legal matters shall be handled in Bexar County, Texas

13. Final Agreement

Enrollment and participation in Quenedit Ballet School confirms full understanding and acceptance of all policies outlined above.

Code of Conduct

At Quenedit Ballet School, we are committed to fostering a refined, respectful, and disciplined environment where every dancer can thrive artistically and personally. The following Code of Conduct has been established to ensure a safe, professional, and positive experience for all members of our community.

We value open communication and welcome any questions regarding these policies. Quenedit Ballet School reserves the right to take appropriate disciplinary action, including dismissal, following a formal review if this Code of Conduct is not upheld.

Professional Conduct & Studio Etiquette

All students and families are expected to demonstrate respect, courtesy, and professionalism at all times.

  • Students must follow instructor direction and remain attentive and engaged during class

  • Disruptive behavior, inappropriate language, or lack of respect will not be tolerated

  • Parents and students must treat staff, fellow families, and dancers with kindness and professionalism

  • Any form of disrespect, defamation, or misconduct may result in disciplinary action

Anti-Bullying Policy

Quenedit Ballet School maintains a zero-tolerance policy toward bullying.

  • Physical, emotional, verbal, or cyber bullying is strictly prohibited

  • Any incidents involving students, parents, or staff will be addressed immediately

  • Serious or repeated offenses may result in dismissal from the school

Communication Policy

To maintain a professional and structured environment:

  • Classes and private lessons may not be interrupted unless in the case of an emergency

  • Parents are not permitted to approach teachers or students during class time

  • All communication must be directed through the front desk or administration

  • Direct contact with instructors regarding studio matters (via phone, email, or social media) is not permitted without prior approval from the director

  • Meetings with the director may be scheduled through reception

Attendance & Punctuality

Consistency is essential to a dancer’s development.

  • Students are expected to attend classes regularly and arrive on time

  • Late arrivals may be asked to observe class for safety reasons

  • Excessive absences may affect class progression and performance participation

Dress Code & Presentation

A polished and unified appearance is an essential part of training.

  • All students must adhere to the Quenedit Ballet School uniform requirements

  • Hair must be secured appropriately for each class (e.g., ballet bun for ballet classes)

  • Jewelry is not permitted unless approved by the instructor

  • Food, gum, and beverages (other than water) are not allowed inside studios

Health & Safety

The well-being of our students is a top priority.

  • Students who are ill should not attend class

  • Injuries must be reported to instructors prior to participation

  • Faculty reserve the right to modify or limit participation for safety reasons

Facility Care & Safety

We take great pride in maintaining a beautiful and professional space.

  • Running, roughhousing, or unsafe behavior is not permitted inside the facility

  • Dance shoes may not be worn outside the studio premises

  • Students and families are expected to respect all studio property and equipment

Parent Responsibilities

Parents play an important role in supporting their dancer’s experience.

  • Students must be dropped off and picked up on time

  • Quenedit Ballet School is not responsible for students outside of their scheduled class times

  • In case of delay, parents must notify the studio promptly

  • Parents must wait in designated areas and may not enter studios unless invited

Financial Responsibility

Families are responsible for all tuition, recital, and costume obligations.

  • Late fees may be applied to overdue balances

  • Students with unpaid balances may be excluded from performances

  • Costumes will not be issued until all accounts are current

  • Outstanding balances may be referred to external collections at the client’s expense

Intellectual Property

All choreography, staging, costuming concepts, and studio materials are the intellectual property of Quenedit Ballet School.

  • Reproduction, distribution, or use without written permission is strictly prohibited

Liability

  • Quenedit Ballet School is not responsible for lost, stolen, or misplaced personal items

  • Families are encouraged to avoid bringing valuables into the studio

Studio Operations

Quenedit Ballet School reserves the right to:

  • Adjust class schedules, instructors, or programming as needed throughout the year

Disciplinary Action

Failure to adhere to this Code of Conduct may result in:

  • Verbal or written warning

  • Meeting with administration

  • Suspension or dismissal from the school

All decisions are made at the discretion of the directors with the best interest of the school community in mind.
